Privacy Policy

MapleDesk provides an AI receptionist that answers phone calls for local service businesses and turns those calls into leads. This policy explains what information we handle, why, and the choices you have.
Information we collect
Account information. When a business signs up we store the owner's email address and the business profile they enter: name, phone number, address, hours, services and notification contacts.
Call information. When someone calls a business that uses MapleDesk, we process the caller's phone number, what they say on the call, a transcript, an AI-written summary and, where the business has it turned on, an audio recording. From the call we record details such as the caller's name, service address, the problem described and their preferred appointment time.
Usage information. Basic technical logs (such as request times and errors) that help us keep the service secure and working.
How we use information
We use call information only to provide the service to the business the caller contacted: answering the call, creating the lead, alerting the business's staff, and showing the call history in that business's dashboard. We use account information to run the account, sign you in and contact you about the service.
We do not sell personal information, and we do not use it for advertising.
Text messages (SMS)
Businesses can choose to receive text alerts about new and urgent calls at a number they provide. Callers who missed an appointment may receive a single rebooking text from the business they booked with. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help.
Mobile phone numbers and SMS consent are never shared with third parties or affiliates for marketing or promotional purposes.
Service providers
We rely on trusted providers to run MapleDesk: Supabase (database and sign-in), Vercel (hosting), Retell AI (voice calls and transcription) and Twilio (text messages). They process information only on our instructions and to provide their service.
Retention and deletion
A business's leads, calls and notes are kept for as long as its account is active. A business owner can delete their account and data at any time by contacting us, and we will delete it within 30 days, except where the law requires us to keep it longer.
Security
Data is encrypted in transit and at rest. Each business can see only its own leads and calls; access is enforced in the database itself.
Your rights
Depending on where you live (for example under Canada's PIPEDA or applicable US state laws) you may have the right to access, correct or delete your personal information. If you called a business that uses MapleDesk, you can also contact that business directly.
